Job Description

We are looking for a highly organised, proactive, and detail-oriented Personal Assistant to the Director to provide end-to-end administrative and operational support. This role is ideal for someone who can manage multiple priorities, work under pressure, and act as a strong coordination bridge between the Director, internal teams, clients, and external partners. You will play a key role in managing schedules, coordinating applications, handling communication, and ensuring smooth day-to-day operations. Why Join Us? Responsibilities

Director Support & Administration Manage the Director’s calendar, appointments, meetings, and deadlines Coordinate travel arrangements including flights, accommodation, and logistics Handle emails, calls, and routine correspondence; escalate urgent matters Draft, proofread, and manage official communication and documents Maintain organised filing systems and document records Operations & Coordination Update internal portals and systems with accurate client and application information Coordinate admissions and visa application processes with counsellors and executives Liaise with partners, institutions, and relevant authorities on behalf of clients Track application progress and provide timely updates to clients Ensure all documents and applications are reviewed for accuracy before submission Reporting & Support Prepare presentations, reports, and briefing materials for meetings Conduct research and gather information to support decision-making Manage multiple tasks efficiently while meeting tight deadlines What We’re Looking For Prior experience as a Personal Assistant, Executive Assistant, or similar role Excellent organisational and time-management skills Strong written and verbal communication skills Proficiency in Microsoft Word, Excel, PowerPoint, and basic digital tools Ability to handle confidential information with discretion High attention to detail and accuracy Ability to work independently as well as with cross-functional teams Comfortable working in a fast-paced, deadline-driven environment
